Cyclone Septic & Plumbing is looking for a Service Coordinator to join our growing team. This position is often the first point of contact for our customers and plays a critical role in scheduling, dispatching, customer communication, and office operations.

While this position begins with customer service and dispatching responsibilities, we’re ultimately looking for someone who wants to grow into a larger role within the company. The right person will learn how our business operates, help improve processes, support the field team, assist with management tasks, and have opportunities to advance into office coordination and leadership responsibilities as the company continues to grow.

This is more than answering phones. The Service Coordinator helps keep the entire operation moving by coordinating schedules, communicating with customers and technicians, tracking jobs, following up on opportunities, and making sure important details don’t get missed.

What You’ll Do

  • Answer incoming phone calls and assist customers
  • Schedule service calls, inspections, pumping, and installations
  • Dispatch technicians and coordinate daily routes
  • Follow up with customers regarding appointments, estimates, and completed work
  • Track open estimates and assist with customer follow-up
  • Maintain accurate customer records and job information
  • Assist with invoicing, payments, and administrative tasks
  • Monitor schedules and help maximize efficiency throughout the day
  • Communicate with field personnel regarding schedule changes and job updates
  • Help resolve customer concerns professionally and promptly
  • Assist with office projects and process improvements
  • Learn company procedures, systems, and operations

Preferred Qualifications

  • Experience in customer service, dispatching, scheduling, or office administration
  • Experience working for a plumbing, HVAC, electrical, septic, construction, or other home service company
  • Experience using Housecall Pro or similar field service software
  • Strong knowledge of Microsoft Outlook, Excel, Word, and Teams
  • Advanced Microsoft Excel skills are a plus
  • Experience with CRM, scheduling, or customer management software
