Operations Coordinator

Guthrie, OK | $18-$28/hr | Monday-Friday

We’re not looking for someone to simply answer phones.

We’re looking for someone who enjoys organizing chaos, solving problems, and helping a growing company run better every day.

At Cyclone Septic & Plumbing, the office is the heartbeat of the business. Every schedule, every customer, every technician, and every job flows through this position. If you enjoy taking ownership, keeping people informed, and making sure nothing falls through the cracks, you’ll thrive here.

This position starts with customer service and scheduling, but it’s designed for someone who wants to grow into a larger leadership role. As you learn our business, you’ll have opportunities to improve processes, take on more responsibility, and help shape how our company operates.

We’re a family-owned company serving central Oklahoma since 2016. We believe great businesses are built by great people, and we promote from within whenever possible.

What Success Looks Like

  • Customers know what’s happening before they have to ask.
  • Technicians have everything they need before they leave for a job.
  • The schedule stays organized, even when unexpected changes happen.
  • Details don’t get missed.
  • You constantly look for ways to improve how we operate.

What You’ll Do

  • Coordinate daily schedules for service technicians and installation crews.
  • Communicate with customers throughout their project.
  • Answer incoming phone calls and provide outstanding customer service.
  • Solve scheduling conflicts and adjust priorities as the day changes.
  • Track estimates, open opportunities, and customer follow-up.
  • Maintain accurate customer records and job information.
  • Assist with invoicing, payments, permits, and other administrative tasks.
  • Work closely with field personnel to keep jobs moving efficiently.
  • Identify opportunities to improve office systems and processes.
  • Support leadership with projects that help the company grow.

You’ll Thrive Here If…

  • You stay calm and professional, even when things get busy.
  • You’re naturally organized and enjoy keeping multiple moving parts on track.
  • You communicate confidently and treat every customer with respect, even when they’re frustrated.
  • You’re comfortable making difficult phone calls, including collecting past-due balances.
  • You notice details that others overlook and take pride in getting things right.
  • You enjoy solving problems instead of waiting for someone else to fix them.
  • You can switch quickly between tasks without becoming overwhelmed.
  • You learn new software and processes quickly.
  • You’re comfortable making decisions and taking ownership of your work.
  • You enjoy improving systems and finding better ways to do things.
  • Experience in dispatching or the home service industry is helpful, but not required.

Preferred Qualifications

  • Experience in customer service, dispatching, scheduling, or office administration.
  • Experience with a plumbing, HVAC, electrical, construction, septic, or other home service company is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable learning new software and technology.
  • Experience with CRM or scheduling software.
  • Experience with Microsoft Access, Sharepoint, and GoHighLevel.

What We Offer

  • $18–$28/hour depending on experience.
  • Health insurance.
  • Paid holidays.
  • Paid time off.
  • Monday–Friday schedule with only occasional weekend work.
  • Ongoing training and professional development.
  • Increased responsibility and compensation based on performance.
  • A clear path toward future leadership opportunities.

Who Succeeds Here

We’re a small, fast-moving company where everyone wears multiple hats. No two days are exactly alike, and priorities can change quickly. The people who thrive here enjoy solving problems, adapting to change, and taking ownership of their work instead of waiting to be told what to do.

We don’t expect perfection. We do expect initiative.

If something isn’t working, we want people who look for solutions, communicate clearly, and help make the business better.

If you’re looking for a long-term career where your ideas matter, your work has a direct impact on the company, and you’ll have opportunities to grow into leadership as we continue expanding, we’d love to hear from you.

What We Value

We’re much more interested in hiring the right person than someone who checks every box on a résumé.

We can teach septic, plumbing, and our software. What we’re really looking for is someone who stays composed under pressure, takes ownership, communicates professionally, and genuinely enjoys helping people solve problems.

The people who succeed here don’t wait to be told every step. They notice problems, communicate well, take initiative, and look for solutions.

If you’re the kind of person who sees something that could be done better and thinks, “Let me figure out how to improve it,” instead of “That’s not my job,” you’ll fit in well here.

We believe every employee should have a voice. Great ideas can come from anyone, and we’re always looking for better ways to serve our customers and support our team.

If you’re looking for a job where you’ll simply do the same thing every day, this probably isn’t it.

We know this job can be demanding. Customers sometimes call because they’re frustrated, technicians need answers quickly, and priorities can change throughout the day. The people who thrive here don’t get rattled. They stay positive, solve the problem in front of them, and move on to the next one.

If you’re looking for a career where you can grow, solve problems, make an impact, and help build something you’re proud of, we’d love to meet you.
